# Beast Mode

Beast Mode is where you check, adjust and finalise an invoice. It brings together everything recorded for the job (what was scheduled on eBoard, the tasks field staff recorded, equipment used, and office and one-off charges) and turns it into invoice charges. Access depends on your [access level](/getting-started/user-access-levels.md).

Beast Mode opens when you create a progress or final invoice from a job's [details](/eboard/calendar/job-details.md), or when you click an invoice on the [Invoices](/tracking/invoices.md) page.

## The top bar

The invoice number and its status (e.g. **to process**, **exported**) are shown at the top left.

| Button / menu      | What it does                                                                                                                                                  |
| ------------------ | ------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| **Save as Draft** | Saves the invoice and moves it to the **Draft** tab. |
| **Preview export** | Opens [Preview export](/tracking/invoices/preview-export.md) to choose invoice lines and export to Xero, a spreadsheet or print. |
| **View** | **Preview export**, **Job in Tracking**, **Job on eBoard**, and **Notes Guide** ([eBoard and Tracking notes](/eboard/calendar/eboard-and-tracking-notes.md)). |
| **Tools** | **Round labour hours**, **Round vehicle hours**, **Assign invoice**, and **Export to spreadsheet**. |
| **Workflow** | **Save as complete**, **Merge invoice**, **Abandon invoice**, and **Delete invoice** (see [Finishing an invoice](#finishing-an-invoice)). |

## Invoice details

The details that will appear on the invoice. Click the **pencil** icon next to a field to change it for this invoice:

* **Assigned To**: the staff member responsible for processing the invoice (also available from **Tools** → **Assign invoice**).
* **Location** and **Description of Work Activity**.
* **Contact**, **P/O Number** and **Your reference**.

**Other invoices** lists any other invoices for the same job. **Invoice reference** shows the reference that will be used when the invoice is exported, built from the format in [System settings](/tracking/settings/system-settings.md).

## Job details

A read-only summary of the job: job number, booked start and end dates, **Client**, **Principal**, who to **Bill**, and for each site the quote, TMP and CAR references, services and admin notes. Use the map and list icons next to the site address to view the location or the job's details.

## General charges

* **Office Services (from eBoard)**: the chargeable office and TMP services entered on the eBoard job. Enter or change the charge for each.
* **One-off billing charges**: extra charges for this invoice, such as extra equipment bought on the day. Click **Add one-off charge** to add one, or use the edit and delete icons on an existing charge.

## Job information (eBoard jobs)

A day-by-day comparison of what was scheduled on eBoard with what field staff recorded in Tracking:

* **Field staff notes & tracking**: the tasks recorded each day. Hover for task times and field staff notes; click to open the task.
* **Scheduled start time(s)**, **Closures**, **Trucks**, **Staff** and **Labour**: what was scheduled. Hover abbreviations and initials for full names.
* **Removed parks**: whether no-parking was required.
* **Office daily notes**: daily notes recorded on eBoard.

Open the **Key** for what the colour highlighting means.

## Task charges

### Labour and Vehicles

Hours for each labour and vehicle type, per day, taken from the tasks recorded in Tracking. Each row shows the daily hours, **Total**, **Avg**, **Max**, **Price**, **Discount** and **Charge**, with totals for labour hours, vehicle hours and combined hours.

* Click **Subtotals** to show or hide a subtotal for each type.
* Click a **Discount** figure to apply a discount to that row.
* Use **Tools** → **Round labour hours** or **Round vehicle hours** to round hours up (e.g. to the nearest 0.25 or 0.5 of an hour) or apply a minimum.

### Equipment

The maximum quantity of each equipment item used on each day, as recorded in the job's tasks, with the price and charge for each item and a **Total equipment daily charge**.

* **Fixed cost**: enter a fixed equipment charge for a day to replace the calculated charge.
* **Discount**: apply a discount to the equipment charge.

### Overriding figures

Click a day's figure or a price in the Labour, Vehicles or Equipment tables to override it. Overridden figures are shown in blue.

## Notes for invoicing team

Notes for whoever processes the invoice. Click **Show history** to see who changed the invoice and when.

The **Total charge** for the invoice is shown at the bottom of the page.

## Finishing an invoice

| Workflow action | What it does |

| **Save as complete** | Marks the invoice as complete and moves it to the **Complete** tab. Do this once the invoice has been exported or sent. |
| **Merge invoice** | Combines this invoice with another invoice for the same job. Only available when the job has other invoices. |
| **Abandon invoice** | Abandons this invoice. |

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://wiki.roaddirect.co.nz/tracking/invoices/beast-mode.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
