# Export an invoice

Use these steps to send an invoice to Xero, or download it as a spreadsheet for another accounting system.

{% hint style="info" %}
**Exporting to Xero for the first time?** First connect to Xero and link your clients to Xero contacts. See [Xero integration](/eboard/settings/xero-integration.md).
{% endhint %}

1. **Open the invoice in** [**Beast Mode**](/tracking/invoices/beast-mode.md)**.** For example, pick it from the [Invoices](/tracking/invoices.md) list, create a new invoice from a job, or open it from the job's details.
2. **Check the charges.** Adjust labour, vehicle and equipment figures, discounts and one-off charges as needed, and use **Tools** → **Round labour hours** / **Round vehicle hours** if you round hours.
3. **Click Preview export.**
4. **Choose how the invoice lines are grouped** under **Invoice Options**:
   * **Single total?** for one line for the whole invoice
   * **Labour** and **Vehicles**: **Individual lines** or **Subtotals**
   * **Equipment**: **By day**, **By item** or **Single total**
5. **Check the lines, account codes and GST.**
6. **Export:**
   * **Export to Xero** creates the invoice in Xero as a **Draft**. If it's been exported before, you're asked to confirm. You're returned to Beast Mode, and the invoice number changes to Xero's invoice number. Review, approve and send the draft from Xero.
   * **Export to Excel** downloads it as a spreadsheet.
   * **Print** prints it or saves it as a PDF.
7. **Choose Workflow → Save as complete** in Beast Mode. Exporting on its own doesn't move the invoice to the Complete tab.

For what each option does and where the account codes come from, see [Preview export](/tracking/invoices/preview-export.md).

Here's a video showing the process: <http://bit.ly/rd_export-invoice2>

{% hint style="info" %}
All account codes are configurable. Default codes for office/one-off charges, grouped equipment and single-total invoices are in [System settings](/tracking/settings/system-settings.md); codes for individual rates and products are set on each rate and product in Tracking settings.
{% endhint %}

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://wiki.roaddirect.co.nz/how-do-i/export-an-invoice.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
